Alumni Center Cancellation Policies
Definitions
- Cancellation – canceling anytime up to 7 business days prior to your event
- Late Cancellation – canceling 7 business days up to 3 business day before your event.
- No Show– canceling with less than 3 business days to your event or not showing up for your event.
- Any cancellation by the renter must be received in writing in the Special Events Office. (Email is fine)
- Events that are canceled “day of” due to inclement weather will not be charged a late cancellation fee as long as the group representative contacts our offices at least 4 hours prior to their scheduled event start time to notify us of the weather related cancellation.
- IPFW’s obligation to make the facility available will be relieved if anything outside of its control prevents the facility from being available at the date and time scheduled for the event. This includes such occurrences as natural disaster, fire, destruction, war, governmental order, quarantine and administrative evacuation (i.e. bomb threats) or other forces or events outside of IPFW’s control. If such occurs, IPFW will refund the renter’s deposit and fee already paid in full, but will have no other liability due to such cancellation or unavailability of the use of its facility.

- 2nd Offense: Loss of scheduling privileges in Fieldhouse and Gates Sports Center, or Walb Union and/or Neff Hall, room 101, Liberal Arts Building, room 159, Liberal Arts Building, room 35A, Science Building, room 168 for remainder of semester and all remaining events/meetings scheduled for that student group cancelled in Walb Union, and/or Neff Hall, room 101, Liberal Arts Building, room 159, Liberal Arts Building, room 35A, Science Building, room 168 as appropriate, and sent to registrar to schedule into a general use classroom. Student group needs to complete new forms at the Student Life office to schedule into a general use classroom.

Rhinehart Music Center Cancellation Policies

- Cancellation: canceling anytime up to 30 calendar days prior to your event
- Late Cancellation: canceling 30 calendar days up to 7 calendar days before your event.
- No Show:canceling with less than 7 calendar days to your event or not showing up for your event.
- If Renter cancels the scheduled event with greater than a 30 day notice a $100 non-refundable processing fee is due and will be deducted from Renter’s deposit.
- One transfer date will be allowed per contract per external client.
- Any cancellation by the renter must be received in writing in the Special Events Office - RC 208. (Email is fine)
